Catering to your Guests...Key Factors when choosing your Wedding Caterer

Along with securing your wedding venue, booking a great catering company is highly essential. We all know that food is the way to a man's heart and there is nothing worse than having a gorgeous venue but having bad food and horrible service. A great catering company will have a great reputation so make sure to do your research! 

Although budget plays a key factor in your decision-making process, you want to make sure you book a caterer with high quality food, impeccable service and plenty of experience.  

Some venues only offer in-house catering services, while some offer a catering buy-out option. If you are able to bring in your own catering company, you will want to make sure to ask the following questions:

  1. Availability - Are they available on your wedding date? If so, the next step is to schedule a food tasting. Don't be surprised if your tasting is not complimentary. Most companies will offer a free tasting if you decide to book their services. If you are shopping around, be prepared to pay for your tasting experience. 

  2. Budget & Flexibility- What is the cost per guest? The national average is $75 per person. You may have the desire to serve steak and lobster at your wedding but will need to stick within what your budget allows for. There are many ways to stay cost effective when considering your menu. A good catering company will discuss these options with you. 

  3. Experience - Does your caterer have experience working weddings? Some people think that their favorite restaurants are able to cater large scale events. That's not always the case.  You also want to ask if they have catered at your venue before. If not, you will want to make sure to schedule an on-site catering meeting to ensure that all the logistics are properly planned for. Not every venue has an industrial kitchen and it's crucial to confirm they have the space that the caterer needs as well as can host the proper electrical and technological capabilities required.

  4. Staffing - On average, most catering companies provide 1 server per every 25 guests and 1 bartender per every 75 guests. It does depend on whether or not you have a plated meal service in comparison to a buffet service. Food stations are also another option in which you may have additional staff involved to operate a carving station or seafood station. Staffing fees are important to plan for and discuss at your initial consultation or food tasting. If the catering company does not provide staffing, don't panic, there are many great professional companies out there to ensure the highest quality of service on your big day.    

  5. Rentals - Are rentals included? It's important to confirm that the caterer is going to provide plateware, flatware and glassware. Your venue may provide these items as well but these details need to be spelled out on your contract. Other factors to consider would be linens as well as napkins. If your caterer is not offering these items, or they are an additional cost, you can source linens through a third party or your decorating company. 

  6. Additional Fees - A great question to always ask is what additional fees may apply? Does the caterer have a cake cutting fee? What is the gratuity and is that included in the overall cost per guest? Do they offer tableside wine service complimentary or is this an additional charge? If the caterer is providing the bar service, are specialty cocktails included or is that an upcharge? You also want to make sure to discuss the labor of hours needed. I've planned some weddings in the past that have had a 4 hour reception and others have gone over 6 hours. It's important to confirm the number of hours regarding your labor fees and what's included.

You should always consult with your wedding planner when it comes to finding the best caterer that fits your needs. In the end, your wedding is a celebration of your love and food plays an important role in your guests' experience. Great food evokes great memories, don't settle for anything less.
